What's in the box

Built for the front desk and the bay

Records

Customers & vehicles

One record per customer, every vehicle they own, and a full service history kept by VIN — searchable back to the first visit.

  • Customer CRM with full contact + visit history
  • VIN-keyed service Logbook
  • CSV import from your current shop software — customers, vehicles, and your invoice history with open balances
  • Fast VIN decode + vehicle lookup
  • Open safety recalls pulled onto the repair order
Money

Estimates, invoices & payments

Write the estimate, send it for approval, turn it into a repair order, invoice when the work's done, and take payment — parts, labor, and tax carried through automatically at every step.

  • Estimate → RO → invoice in a few clicks
  • Parts, labor, fees, and tax handled for you
  • Card, cash and check in person — and online card payment
  • Clear payment ledger on every job
Your brand

Customer portal under your name

Customers sign in to a page that wears your shop's name and color, so every visit reinforces your brand.

  • Per-shop name, logo, and accent color
  • Self-service service history
  • Approve estimates from a phone
  • Take a deposit the moment the customer approves
Trust

Inspections & photos

Digital multi-point inspections with photo annotation. Show the customer the worn part — approvals come back faster when they can see what you see.

  • Multi-point inspection sheets
  • Photo capture + annotation
  • Send results straight to the customer
  • Declined work tracked for follow-up
Flow

Scheduling, dispatch & comms

Keep the bays full and the customer in the loop — appointments, a dispatch board, and a two-way message thread on every job, so the whole conversation stays in one searchable place.

  • Appointment + bay calendar
  • Dispatch board across the shop
  • Two-way SMS + comms timeline
  • Automated maintenance reminders
Stock

Parts & inventory

Keep a count and a reorder point on the parts you stock; invoicing a job relieves what it used, and low stock surfaces on the dashboard. A price book, not a warehouse system — and a supplier's quote lands on the estimate without retyping.

  • Import a supplier price sheet, with a dry run first
  • Parts list with stock on hand + per-part reorder points
  • Stock relieved automatically when the job is invoiced
  • Paste, drop or screenshot a supplier quote — the lines land on the estimate, priced with your markup
  • Per-part usage history
  • Markup tiers applied when a part lands on an estimate
Insight

Reporting & dashboards

Sales and daily revenue, receivables aging, technician productivity, parts margins, top customers and refunds. Eight core metrics are graded against published industry bands, so you can see where you stand.

  • KPI dashboard with industry benchmarks
  • Tech efficiency + comeback reporting
  • Smart write-ups for notes & summaries
  • Marketing campaigns (declined-service follow-up)

The AI

In the repair order

The write-up and the vehicle's history sit in one record, so the assistant works from the same job you do. You approve every line before it lands.

Write-ups

A rough note becomes the write-up

Hand it the tech's rough note — typed, pasted or spoken — and Daedalus drafts the complaint, cause and correction, then rewrites it in language the customer follows.

  • Rough notes into a structured write-up
  • Customer-facing rewrite of the 3C text
  • Type, paste, or dictate from a phone
Your customers

It answers the “is it ready yet?” calls

The assistant on your customer portal answers from that customer’s own repair orders — where the job stands, what the estimate covers, when the car can be collected. It reads; it never changes anything. Anything it cannot answer, it hands to you rather than guessing.

  • Scoped to that customer’s own vehicles and jobs
  • Hands off to the shop instead of inventing an answer
  • Set it up in Settings → Assistant & Messaging
Control

Bulk changes are confirmed with you

Anything that would create, update or delete more than one record stops and asks first — it tells you exactly what it is about to do and waits for a yes. Single edits apply as you ask for them. The code that writes to your database follows rules; the model never touches it.

  • Review-then-apply on every AI edit
  • The assistant sees the record you have open
  • Turn AI off entirely in Settings → Shop Features
Where this sits

What this price usually buys

Shop software divides roughly in two. Above about $200 a month you get a mature all-in-one — deep parts catalogues, dozens of integrations, and a sales team. Between about $40 and $100 you get a competent ledger: customers, vehicles, invoices, and not much that thinks.

Daedalus is priced in the second group and built like neither. It runs the front desk — estimates, invoices, payments, scheduling, a portal under your own name — and it also reads the codes off the car and tells you which fault explains the others. That last part is not a cheaper version of something in the first group. Nothing in either group sells it.

Compare it against whatever you are paying for now. That is the comparison we would rather you made.
